Simplify the process before you automate it.

Automation can make repeated work faster, but it can also repeat an unclear process more quickly. For a small business, the first useful step is often understanding how the work actually moves between people.

Choose one recurring activity, such as preparing a quote or onboarding a customer. Trace it from the initial request to completion. Record where information is copied, where someone waits and where a team member has to correct a previous step.

Remove steps that no longer serve a purpose. Agree which information is essential, where it should be stored and who is responsible for keeping it accurate. Test the simpler process manually before introducing another tool.

When you do automate, give someone responsibility for checking the output and handling exceptions. A useful system makes ordinary work easier while keeping unusual situations visible. Review it after the first few weeks with the people who use it, including any customer-facing consequences.
